HRMPro

Privacy Policy

This policy explains what personal data HRM Pro ("we") processes when companies use our HR software, and the choices you have.

Who is responsible

Each company that signs up decides what data about its employees goes into HRM Pro, and is responsible for it. We process that data on the company's behalf and only to provide the service. For data about the company's own account (owner name, email, billing) we are responsible.

What we process

  • Account details: name, email address, phone number, password (stored as a one-way hash).
  • Employee records entered by your employer: job details, attendance, leave, salary, bank and ID numbers (bank and ID numbers are encrypted).
  • Location at clock-in, only when the employee allows it in the browser.
  • Billing details: plan, invoices and payment status. Card details are handled by the payment provider and never reach our servers.
  • Technical data: IP address and browser type, kept in security logs.

Why we process it

To run the service you signed up for, keep it secure, send emails you need (such as payslips and approvals), and meet tax and legal duties.

Cookies

We use only essential cookies: one to keep you signed in and one to protect forms. We do not use advertising or tracking cookies.

Sharing

We do not sell personal data. We share it only with providers that help us run the service (hosting, email delivery, payment processing), under contracts that require them to protect it, or when the law requires it.

How long we keep it

For as long as the company account is active. Payroll records may be kept longer where tax law requires it. When a company closes its account, its data is deleted after any legally required period.

Your rights

You can see and download your data from your account ("Download my data"), and ask for corrections. Employees should contact their employer first, because the employer controls their records. Under the GDPR and India's Digital Personal Data Protection Act 2023 you may also have rights to erasure and to complain to a regulator.
